Senior Accounting Specialist

Our team is growing!

We are seeking a full-time Senior Accounting Specialist to join our team.

Position Overview

The Senior Accounting Specialist supports the Accounting Supervisor and Accounting Manager by performing advanced bookkeeping, financial reporting, and account reconciliation tasks. This role requires strong technical accounting skills, excellent attention to detail, and the ability to work with multiple clients in a fast-paced environment.

Key Responsibilities
    • Reconcile bank and credit card statements
    • Accurately code financial transactions
    • Complete complex client bookkeeping tasks
    • Prepare detailed and accurate financial statement presentations
    • Record adjusting journal entries including depreciation, loans, and payroll
    • Maintain assets and record depreciation
    • Record payroll entries and ensure accuracy
    • Create amortization schedules and balance loans
    • Prepare and maintain 1099 forms
    • Maintain files and documentation according to firm policy
    • Assist with miscellaneous projects as needed
    • Provide client training in QuickBooks Online (QBO)
    • Serve as a Developmental Coach to Accounting Specialists by setting goals and supporting career growth
    • Assist in Simple Accounting Review processes
    • Support accounting supervisor with accounting setup for new clients
    • Perform accounting file cleanups for new clients
Required Qualifications & Skills
    • QuickBooks Online Level 2 Certification
    • QuickBooks Online Bookkeeping Certification
    • Associate Degree (minimum), but BA is preferred
    • 2–3 years of bookkeeping experience, preferably with multiple clients
    • Intermediate proficiency in Microsoft Office
    • Excellent data entry skills
    • Strong understanding of accounting principles
    • Knowledge of financial statement presentation standards
    • Solid understanding of depreciation methods
    • Basic understanding of accounting basis differences (e.g., Tax vs GAAP)
    • Strong knowledge of QuickBooks Online software
    • Understanding of payroll principles and their accounting impact

This position can be hybrid and work in any of our offices in Flemingsburg, Maysville, Richmond, Lexington, or Louisville, Kentucky.

Customer Service Representative

Position Summary

The Customer Service Representative (CSR) serves as the first point of contact for clients and plays a vital role in supporting daily front-office operations at Baldwin CPAs. This position provides administrative, project, and client service support while upholding the firm’s professional standards, operational procedures, and strategic goals.

Key Responsibilities
Front Desk & Client Service
  • Greet and assist clients professionally, both in person and by phone
  • Answer and route incoming telephone calls
  • Schedule client appointments and manage calendars
  • Cover the front desk as needed and assist with office opening and closing procedures
Administrative & Project Support
  • Create tax projects, 1099, and ERC projects
  • Complete new client intake forms and update client information in Practice
  • Prepare and send engagement letters and documents via PandaDoc
  • Request and process consent forms for tax returns released to third parties
  • Match invoices to checks and complete check scanner deposits
  • Stuff, process, and mail end-of-month invoices
  • Handle certified, priority, FedEx, and UPS mail, including drop-offs and pickups
  • Send sympathy flowers or donations on behalf of the firm
  • Finalize name cards for trainings and firm events
Tax & Document Processing Support
  • Scan tax information using GFR and barcode scanning
  • Provide backup support for SurePrep during peak season
  • Process simple tax returns, including SafeSend delivery
  • Deliver tax returns in person, electronically, and by mail
  • Maintain accurate files and documentation in accordance with firm policy
General Responsibilities
  • Assist with additional projects as assigned
  • Embrace and promote the firm’s vision, values, and strategic goals
Education

High School Diploma or equivalent. Relevant experience may be considered in lieu of education.

Experience

Minimum of 6 months to 1 year of customer service experience.

Knowledge, Skills, and Abilities
  • Entry-level proficiency with Microsoft Outlook and Excel

     

  • Strong data entry and attention to detail

     

  • Excellent organizational and time-management skills

     

  • Ability to work independently in a fast-paced, deadline-driven environment

     

  • Strong written and verbal communication skills

     

  • Professional demeanor with clients and staff

     

  • Comfort working in a virtual environment and using modern technology
